These Terms and Conditions (“Terms”) govern your use of the 28th Asian Science Park Association (ASPA) Annual Conference 2025 website and your registration to attend the conference held in Thailand from 3rd–6th November 2025 By accessing the website or registering for the Conference, you agree to comply with these Terms.

1. Website Terms of Use

1.1. Use of the Site

This website is provided to facilitate information, updates, and registration for ASPA 2025. All users must use the site in accordance with applicable laws and these Terms.

1.2. Intellectual Property

All content including text, graphics, logos, design elements, videos, and downloadable materials are the property of the ASPA 2025 Host Committee or its partners, and are protected by applicable intellectual property laws. You may not reproduce or distribute any content without written permission.

1.3. User Conduct

Users must not:
  • Upload malicious code or attempt to interfere with the website’s functionality.
  • Use false information or impersonate another person.
  • Attempt unauthorized access to any part of the site or its back-end systems.

1.4. External Links

The website may contain links to third-party websites. ASPA 2025 website is not responsible for their content or privacy practices.

2. Registration Terms

2.1. Registration Confirmation

Upon completion and payment of the registration form, you will receive a confirmation email. Registration is not considered complete until payment has been received in full.

2.2. Payment & Invoicing

All registration fees must be paid via the official payment channels listed on the registration portal. Bank transfer fees or currency conversion charges are the responsibility of the attendee.

2.2.1. Credit Card Payments

– Debit cards and corporate credit cards are not accepted.
– Please do not press the submit button more than once to avoid duplicate charges.
– Once the transaction is completed, you will receive a payment confirmation email. Additional verification checks may be required before the payment is fully accepted.

2.2.2. International Wire Transfers

– Registration fees do NOT include transfer fees charged by intermediary or recipient banks; such fees are the responsibility of the attendee.
– A scanned copy of the transfer receipt, clearly showing the registrant’s full name, must be uploaded to the registration system.
– Once the transaction is completed, you will receive a payment confirmation email. Additional verification checks may be required before the payment is fully accepted.
– Registration is considered complete only once the payment has been successfully processed.
– The date on the e-Receipt / e-Tax Invoice will be the date the payment is received by NSTDA.

Receipts and Invoices
NSTDA has been granted permission to issue electronic receipts (e-Receipts) and e-Tax Invoices. These are regarded as original and legally binding accounting documents.

2.3. Cancellation & Refund Policy

  • Before or On 2 October 2025: 50% refund of registration fee (after administrative deduction).
  • After 2 October 2025: No refund.
    All cancellation requests must be submitted in writing to aspa2025@nstda.or.th
    All approved refunds will be processed and issued within 60 days after the conclusion of ASPA 2025.

2.4. Substitution Policy

Substitutions are allowed at no extra cost until 2 October 2025. Just email us the new participant’s details.

2.5. Program Changes

The Organizing Committee reserves the right to modify the agenda, speakers, sessions, and venue if necessary. All efforts will be made to notify registered attendees of significant changes.

2.6. Event Cancellation

In the unlikely event of a full cancellation of the Conference due to force majeure (natural disasters, pandemics, political unrest, etc.), ASPA 2025 will refund the registration fee minus any non-recoverable expenses. ASPA is not liable for travel, accommodation, or other costs incurred.

3. Privacy and Data Protection

3.1. Personal Data Collection

We collect and store personal data during registration (e.g., name, email, phone number, institution, and dietary requirements) strictly for the purpose of organising and delivering the ASPA 2025 Conference.

3.2. Data Transfer to Next Host

In accordance with ASPA Association’s policy, personal data of participants who have given consent will be transferred to the next host country (ASPA 2026) for the sole purpose of coordinating and organising the following year’s conference.

3.3. Data Retention

Your personal data will be securely retained until the completion of the data transfer to the next host, but for no longer than 6 months after the conclusion of the event, after which it will be permanently deleted from our system.

3.4. Security and Rights

NSTDA as the 2025 host has implemented strict security measures to protect your personal data and will require the next host to apply equivalent data protection standards. You have the right to withhold consent without affecting your participation, and you may withdraw your consent at any time by contacting (email: bcd@nstda.or.th).

3.5. Photography and Media

By attending the Conference, you consent to being photographed and filmed. Images may be used in post-event materials, promotional campaigns, and social media. Please inform the registration desk if you prefer not to be photographed.

4. Code of Conduct

All attendees, speakers, sponsors, and volunteers must adhere to the ASPA 2025 Code of Conduct:
  • Treat all participants with respect and professionalism.
  • Discriminatory or harassing behavior will not be tolerated.
  • Violations may result in removal from the venue without refund.

The conference is open to all professionals, researchers, industry leaders, academics,  tech startups and entrepreneurs, Investors, innovation agencies & government representatives  and science park representatives interested in innovation, R&D, and science park ecosystems.

Yes, discounted early bird rates are available before 30 September 2025.

We offer two registration categories based on membership status:

The registration deadline is 30 September 2025 for Early Bird rates. Regular registration remains open until 31 October

Absolutely, you can transfer your registration to someone else. Substitutions are allowed at no extra cost until 2 October 2025. Just email us the new participant’s details.

The participants can request an official invitation letter after completing registration by contacting the ASPA 2025 Secretariat at aspa2025@nstda.or.th or leave the messages from our chatbot. That letter can assist with the visa application. However, we strongly recommend checking with the local Thai embassy or consulate for specific visa requirements and processing times.

Yes. You’ll receive a tax invoice after completing your payment. If you need a customized invoice (e.g., for your institution), contact us with your billing details.
